1. Who we are and what this is

These Terms govern your use of Job Application Tracker (the “Service”), available at jobapplicationtracker.co and any subdomains. Throughout these Terms we refer to the operator of the Service as “we” or “us”. By creating an account or using the Service you accept these Terms. If you do not accept them, do not use the Service.

2. What we do (and don’t do)

The Service is a tool for organising your job search and editing your own CVs and cover letters more quickly. We provide:

  • An application tracker (your jobs, your notes, your status).
  • CV storage, structured parsing, and inline editing.
  • AI-assisted suggestions for tailoring your CV and cover letter to a specific job.
  • PDF generation from your edited content.

We do not:

  • Submit applications on your behalf.
  • Guarantee any interview, offer, salary, ranking, or employment outcome.
  • Verify the accuracy or truthfulness of anything you enter.
  • Provide career, legal, immigration, financial, or psychological advice.

3. Eligibility & your account

  • You must be at least 16 years old (or the higher age of digital consent in your country).
  • You are responsible for keeping your credentials secret and for everything that happens under your account.
  • Provide a real email address; we send transactional messages to it.
  • One person per account. Sharing accounts is not permitted.

4. AI-generated suggestions — how to use them safely

Parts of the Service use large language models (LLMs) and other AI systems to produce suggested edits, summaries, scoring, parsing, drafts of bullet points and cover letters, and other generated text (collectively, “AI Output”).

AI Output is a suggestion, not a fact. You must read, verify, and edit every word before you use it anywhere — including before downloading a PDF, sending a cover letter, or applying for a job.

  • AI Output can be wrong, outdated, biased, or fabricated (“hallucinations”). This is a known limitation of LLMs and is not a defect of the Service.
  • AI Output may invent or misstate employers, dates, technologies, qualifications, locations, salaries, or accomplishments. You are responsible for correcting anything that is not true of you.
  • Anything you publish or send to an employer, recruiter, or third party is your statement, made by you, regardless of whether AI helped you draft it.
  • You assume all risk arising from any inaccuracy, exaggeration, omission, or misrepresentation in your final CV, cover letter, application, or message — even if it originated as AI Output.
  • If you do not have time to verify AI Output, do not use it. Use only your own writing instead.

The Service’s job is to help you edit your own truthful materials faster. It is your job to make sure those materials are accurate and that you stand behind every claim.

5. Your content & uploaded materials

  • You keep all rights to the CVs, cover letters, notes, application data, and any other content you upload or create (“Your Content”).
  • You grant us a limited, non-exclusive licence to host, store, process, parse, transmit to AI sub-processors, format, and display Your Content solely so we can run the Service for you.
  • You warrant that you own Your Content or have the right to upload it, that it does not infringe anyone’s rights, and that it does not contain unlawful content.
  • Do not upload other people’s CVs, personal data, confidential employer documents, copyrighted material you do not have rights to, or anything you are contractually or legally forbidden to share with a third-party processor.
  • We do not use Your Content to train AI models, and we do not sell it. See our Privacy Policy for details on storage and sub-processors.

6. Job descriptions, URLs, and third-party sites

  • You can paste job description text or URLs (e.g. LinkedIn, Indeed, Reed, Glassdoor, Totaljobs, Workday). When you submit a URL we may fetch the page so we can extract the text.
  • You are responsible for ensuring that fetching, parsing, or storing a given job description is allowed by the source site’s terms.
  • We do not endorse, vet, verify, or warrant any employer, recruiter, salary, location, or job listing. Some listings online are scams; treat all listings sceptically.
  • Any communication, transaction, or relationship between you and an employer or recruiter is strictly between you and them.

7. Acceptable use

You agree not to:

  • Submit content that is false, defamatory, deceptive, fraudulent, or designed to impersonate another person.
  • Use the Service to apply to roles you are not legally allowed to take, or in jurisdictions where the underlying activity is unlawful.
  • Attempt to manipulate, deceive, or attack third-party hiring systems, ATS platforms, employer LLMs, or screening tools using content produced or assembled with the Service. If you choose to include any non-visible, hidden, off-screen, white-on-white, or instruction-style text in materials you send to an employer, you do so entirely at your own risk and accept that employers may treat this as misrepresentation, deception, or fraud, and that we have no responsibility for any consequence.
  • Scrape, reverse-engineer, decompile, or attempt to extract source code or model weights from the Service, except where this is unwaivable under applicable law.
  • Probe, abuse, overload, or interfere with our infrastructure, rate limits, or other users.
  • Use the Service to send bulk unsolicited messages, run automated mass-application bots, or build a competing service.
  • Upload malware, illegal content, or material that violates export controls or sanctions.

8. Pricing, subscriptions, and refunds

  • Some features are free; others require a paid subscription. Current prices are on our Pricing page and are exclusive of VAT/sales tax unless stated.
  • Subscriptions renew automatically at the chosen interval until you cancel.
  • You can cancel at any time from your account; cancellation takes effect at the end of the current billing period.
  • Except where required by mandatory consumer law (including the UK Consumer Contracts Regulations and EU equivalents): we do not give refunds for partial billing periods, unused credits, or change of mind. Statutory rights are not affected.
  • We may change prices on a prospective basis with at least 14 days’ notice; the new price applies to your next renewal.
  • Failed payments may result in suspension of paid features until the issue is resolved.

9. Free plan, fair use, and limits

  • The free plan and any included AI credits are intended for personal job-search use.
  • We may rate-limit, throttle, suspend, or reduce free-plan allowances to keep the Service stable, prevent abuse, or manage cost.
  • Beta or experimental features may be added, changed, or removed without notice and are provided “as is”.

10. Service availability

We work to keep the Service available but we do not commit to any specific uptime. The Service is provided on an “as is” and “as available” basis. We may perform maintenance, change features, or take parts of the Service offline at any time. AI sub-processors (e.g. Google Gemini, OpenRouter) are third parties; their outages can affect AI features and are outside our control.

11. Termination & account deletion

  • You can delete your account at any time. On deletion we remove your personal data in line with our Privacy Policy.
  • We may suspend or terminate your account if you breach these Terms, abuse the Service, expose us to legal risk, or fail to pay.
  • Sections that by their nature should survive (e.g. ownership, disclaimers, indemnity, limitation of liability, governing law) survive termination.

12. Intellectual property in the Service

The Service’s code, design, branding, copy, and templates belong to us or our licensors. These Terms do not give you any ownership of the Service. You may use the Service only as these Terms allow.

13. Disclaimers

To the maximum extent permitted by law, the Service and all AI Output are provided without warranty of any kind, express or implied, including (without limitation) accuracy, completeness, fitness for a particular purpose, non-infringement, suitability for any employer, ATS, application portal, or hiring process, or any guarantee of an interview, offer, or job.

We do not warrant that AI Output is original, that it will pass plagiarism checks, that it complies with any specific employer policy on AI use, or that any score, fit estimate, or recommendation we generate is correct or actionable. You make your own hiring decisions.

14. Limitation of liability

To the maximum extent permitted by law:

  • We are not liable for: lost income, lost job opportunities, loss of an offer, withdrawn offers, terminated employment, immigration or visa consequences, ATS rejection, employer disciplinary action, reputational harm, or any decision an employer makes about you;
  • We are not liable for indirect, incidental, consequential, special, punitive, or exemplary damages, or for loss of data, profits, goodwill, or business;
  • Our total aggregate liability to you for all claims arising out of or relating to the Service, in any 12-month period, will not exceed the greater of (a) the fees you actually paid us in the three (3) months immediately before the event giving rise to the claim, or (b) GBP 50.

Nothing in these Terms limits liability that cannot be limited by law (for example, liability for death or personal injury caused by negligence, or for fraud).

15. Your indemnity to us

You agree to indemnify and hold harmless the operator of Job Application Tracker from any claim, loss, fine, regulatory action, or expense (including reasonable legal fees) arising from: (a) any CV, cover letter, message, or other content you submit, publish, or send to a third party (including any AI Output you chose to use), (b) any misrepresentation, exaggeration, or omission in your applications, (c) your breach of these Terms, (d) your violation of any employer, ATS, recruiter, immigration, or hiring-process rule, and (e) your infringement of any third party’s rights.

16. Changes to these Terms

We may update these Terms. If we make material changes we will give reasonable notice (for example, by email or in-product notice) before they take effect. Continuing to use the Service after the effective date of the new Terms means you accept them. If you do not accept them, stop using the Service and delete your account.

17. Governing law & disputes

These Terms are governed by the law of England & Wales. The courts of England & Wales have exclusive jurisdiction over any dispute, except that consumers may also bring proceedings in the courts of their country of habitual residence where mandatory local law gives them that right.

18. Miscellaneous

  • If any part of these Terms is unenforceable, the rest stays in force.
  • Our failure to enforce a right is not a waiver of it.
  • You may not assign these Terms; we may assign them to a successor in connection with a reorganisation or sale of the Service, on no worse terms than these.
  • These Terms are the entire agreement between you and us about the Service.
